January 15: Promise (Digital and Paper) Ordering Begins
January 19 - February 4: Promise Orders on Paper Delivery Form -- Anything wanted for Early Delivery.
February 3 - February 14: Digital Cookie Connector is open for registration (optional)
February 4: 46466 Required Adult Family Meeting

When your Girl Scout opts in, you provide the Western Washington zip codes (one zip code per submission) in which you are able to help your Girl Scout deliver cookies.
When a community member uses the Cookie Connector on our Find Cookies webpage, they will input their zip code and be provided with the randomized Digital Cookie link of a Girl Scout able to deliver in their zip code.

I know that Cookie Season is taxing AND I know that Cookie Seasons recently have been extra hard. All of our complaints are valid, I'm sure I agree with all of them, and I need all of us -- including myself -- to upgrade our language and energy around Cookie Season -- including myself.
I'm working on managing my nervous system in a way to prevent another summer meltdown / burnout where I ended up staying in my dark bedroom with my weighted blanket. Not all of the stress causing my burnout (that I am now diligently healing) was from Cookie Season and our Troop -- and our Troop and Cookie Season did add to my "nervous system overload." I'm being responsible in my nervous systems in my other areas of life (Yay Iron Infusion), and there are a few things I need from us as a group to keep me in good shape.
Complaints: I need to be in the form of a need or request with a pressure release:
>> "Does it work to..." or
>> "I appreciate x effort, and I'm wondering if..." AND
>> "It's ok to say no!" or (Example of "Pressure Release." I'm working on my "fawning" response, and as I'm learning, this is a great way to support me, by making sure that everything will be fine if I have to say no. Because I do love saying yes.
>> "Let me know what you'd need to have that work!" (partnership question!)
Participation with gratitude for the big picture:
>> There is a balance between accommodations that people need -- which are valid and important -- and my energy to provide them.
>> Everyone is working hard. Everyone gets tired. You may not see what someone else is doing nor see all of the work behind the scenes before then. Coming from that we are grateful for this opportunity because "Girl Scout Cookies Sell Themselves" and the systems are already set up, and we get to give back to GSWW (especially for Financial Assistance).
>> Filling out forms completely, being great about receiving a correction, asking for clarity goes a long way!
>> Participating in the "hard for you/your family/your kiddo" parts with a growth mindset.

Avoiding Discharging Frustration Energy with Christine or with Others in our Troop:

>> Going from hearing one frustration to hearing another frustration to hearing another frustration is really taxing.
>> For this season, I'm asking us to "Use our Resources Wisely," and discharge your frustrations with someone else that is not Christine, and not someone else in our Troop (because it does seem to always get back to me anyway).
>> Once the frustration energy is discharged and you are present to the need or request, that is when I can hold it and be actionable.

To be clear, I'm not asking everyone to be an inauthentic Suzy Sunshine or Toxic Positivity. It's Ok to be human. Compassion is one of my highest values. AND, I'm asking all of us to be deliberate about cultivating a culture of teamwork, self-empowerment, grace, and abundance (abundance of energy, opportunity, inspiration, generosity, empowerment).

- Unless someone wants to take over and do it instead of Christine, what we are doing this year is working together to record our individual progress in Google Sheets, and Christine will match that to eBudde.
- This allows us to sort our data (eBudde does not), move our data (eBudde does not), put them in a logical order (eBudde does not), sort out what you've already delivered (eBudde does not), convert packages to cases and partial cases (eBudde does not) and add color (eBudde does not)!
- Your Personal Workbook automatically populates our "Master/Overview Workbook."

Part 1: Promise Orders
Olden Days - Pre-Orders, and I'm making an effort to use the new words.
People buying early and delivering them before March.
They buy on Digital Cookie (website) and pay.
OR you take their order in person/over the phone, and they pay upon delivery.
Part 2: Making the Initial Order
On February 4th Crystal and Christine will order ALL of the Cookies that our Troop will need OVER THE FIRST WEEKEND and WEEK.
This will include: Paper Orders (not paid), Digital Orders (paid), MORE Cookies that you think you'll sell over between NOW and 2nd Week of March, Cookie Booths for the First Weekend and First Week of March.
It's Ok for us to Order High -- because we'll still have the last 2 weeks of March to sell them.
We can't take Cookies from the BOOTH Cookies for what anyone sells between February 4th and our First Weekend/Week of Booths, because those are already allocated for a Girl Scout to sell based on historical data for that booth.
For example: Fred Meyer sells differently than Haggen. 10:00am on a Sunday (during Church time) sells differently than a Noon on Sunday.
Part 3: Continuing to Sell
Do continue to take Promise Orders between Initial Order Day and First Weekend of March.
Stay in communication with those Customers to show that they are remembered.
If you need help, Christine has a template and I'm happy to send it to your customers WHILE you are talking to me on the phone so I do it. It takes me minutes to do, so please don't feel pressure to spend hours doing something that I'm fast at.
We do our best to get more cookies AS SOON AS POSSIBLE, even with the Initial Order.
Part 4: Initial Order Pick Up
One adult from every family - especially also Peace and Zachary.
The date COULD change.
Likely - Count, Load, Pick up in Ferndale, and deliver to Crystal's Garage. Sort and Re-Count.
Once everything balances -- everyone check out their Cookies, receive booth boxes, go home!
Option: U-Haul -- however, we'll have fewer cookies this year, and we all have to drive ourselves to the location in the first place, and we already have our vehicles there, so it may not be worth the extra effort to pick up a U-Haul.

Part 5: Promise Order Delivery AND Continue to Sell - Through First Thursday of March
Deliver Promise Orders. I use https://www.routexl.com/ to map an efficient route with many stops. Google Maps isn't reliable for efficient.
Continue to sell on Digital Cookie and Paper Orders.
EVERY MONDAY (or whenever we ask!): Complete the Current Cookie Count Form (Blue Bar at the top of our Website). Include ALL Unsold Cookies, even ones that you had planned to use for Cookie Booths. We'll always do the math to make sure we are are ordering a good variety for your Booths with historical data. (By "we" I mean, Crystal). This helps us to never need to return Cookies at the end of the Season.
VERY OFTEN - and on TBD DAYS - Complete the Order More Cookies Form (Purple Bar at the Top of our Website).
It's likely we'll know when the routine will be, when Cookies come up, but we don't know until we know.
Order frequently so that we can communicate with the Cupboard (Monica) frequently.
DO NOT ORDER FOR BOOTHS. Crystal will do that IN PARTNERSHIP WITH YOU.
Always Order in PACKAGES (never in cases). It is an incredible amount of Math and thinking, and being able to add quickly and convert ONE time saves us TONS of time and energy.
As we can FILL your needs, Crystal will arrange with y'all directly for pick up.
We may be able to make a SECOND PICK UP after the Initial Order during this phase.
Part 5: Booth Cookie Season AND Continue to Sell Digital Cookies and Paper Order Form - First, Second, and Third Weekend and weeks of March
Pick up Cookies from Crystal's Garage before Booths on Fridays, Saturdays, and Sundays, working out pick-up times with Crystal directly.
Christine will NOT be having an additional stash at my Bellingham house this year.
Get fresh cash in 1s and 5s for your booths.
Prepare the Booth Worksheet BEFORE YOU LEAVE YOUR HOUSE. It NEVER works to do it AT the store or in the parking lot. TONS of people try to buy from your car.
ALWAYS keep Cookie Packages IN the CASE/COLOR they belong in (or stacked neatly on top). Just because a Do-Si-Do CAN fit into the Samoa case -- don't do it! It always gets forgotten and makes the counts go off. If you have several one-offs, put them in a BAG or something that is NOT the wrong color case.

Continue the Current Cookie Count Form, Continue the Order More Cookies form Frequently.
Keep your "Cookie Cupboard Duty Day" day/evening free in case that is when Cookies are ready for pick up.
In the case that you've ordered too many Cookies -- we'll take them back up through the 10th Thursday before the Second Weekend of Sales, that way we can distribute and sell those on the Second and Third Weekends.
Booth Cookies vs. Personal Cookies:
We want to reduce the number of times Cookies change hands between Crystal's Garage and your house. We will check out Cookies to you for the Booths you are signed up for, in addition to the Cookies you want to have on hand for extra personal sales. You will take YOUR OWN STASH of Cookies to the Booths.
Therefore, MOST Cookie Booths will be stocked by your PERSONAL Cookies.
While we empower Crystal's historical data ability to estimate the amount of Cookies needed (her skill is excellent), once you check out Cookies (for your booth or personal sales) -- they are YOUR Girl Scout's responsibility to sell. She'll start with *what you already have* and *top that off* with Cookies from her Garage. That is why we need clear and frequent updates. We'll also make sure that what we are ordering makes sense to you.
That being said -- we are ALSO a team. If you are feeling overwhelmed or your booth was an unexpected flop -- communicate quickly and frequently. We've been doing this a very long time, and we have LOTS of resources and ideas. We can add more booths (better booths become available as people start dropping them. Crystal monitors this.). We can ask our resources to take them to work. People want them in BC. There are walkabouts in high selling places and neighborhoods. We have ways!
NOTE 1: Some shared booths (often with more than door like Fred Meyer or Safeway, or shared with more than 1 Girl Scout Family may be stocked by "Returnable Troop Booth Cookies." This will be noted on your receipt. This means you'll need to RETURN UNSOLD Cookies at the end of the Booth Sale. Arrange the return time with Crystal directly.
NOTE 2: Towards the end, to mitigate risk, we also offer "RETURNABLE Personal Cookies." This will also be noted on your receipt. This means you'll need to RETURN UNSOLD Cookies at the end of the Booth Sale. Arrange the return time with Crystal directly.
NOTE 3: Last year, for the final day of Booth Cookies, we ran the whole day as a continuous booth and split everything by the hours worked for the total of what was sold that day. It worked well! We may do that again if that fits the circumstances.
Shared Booth Credit:
We are diligent and fair about picking booths that match your Girl Scout's goals, skills, and temperament. For Booths with more than one door (Such as Fred Meyer and Safeway), or booths that are staffed by more than one Girl Scout Family -- we'll combine the sales of BOTH doors, and divide by hours worked. That way, the person at the "slow door" isn't penalized, and the Girl Scouts can swap positions throughout their time at the booth. This circumstance works when All Girl Scouts at ALL doors are hustling, asking every person, and being proactive to the best of their ability.
Imaginary Cookies: Operation Cookie & Donations:
ALWAYS sell the Cookies you have on hand. Do not save them for donations. The money we collect for donated Cookies will be tallied at the end. Crystal will make sure we have some of "the Good Cookies" and not just "the left overs that didn't sell." GSWW may also shuffle donations from one cupboard to the next, or we'll get more from the Cupboard.
Deposit donation cookie money AS YOU GO AND in $6 increments (Whole Cookie Packages). Keep any extra money, $0-5.99 until the end, and combine it in your last deposit as a WHOLE Cookie Package. You may have to increase the donation to round up to $6.
Maximizing Awards / High Sellers 1000+
We will do our best to maximize our rewards on the back end.
For anyone selling 1000+, it's likely that Denise can pick them up from the EVERETT OFFICE. If not Denise, then Wombat or Luna (or any number of people we know!). Once we know the date, Christine will confirm if Denise (or other) can do it. Once that is confirmed, please make sure you respond to the GSWW Staff with your details with instructions for (names designated later) and EVERETT.
If you are going down, you are welcome to Volunteer to get them for all of us!

Cookie Booth Process (More Updating Needed)
If this is your First Cookie Booth Year -- CO would prefer to be able to attend with you to get started when possible.
Cookie Booth Process
Step 1: Prior to the Cookie Booth Weekend, pick up cookies from Crystal McCracken's house. Crystal will do a good job estimating how many of each kind you'll need for each Cookie Booth.
Step 2: On the day of your Cookie Booth -- On the way to the Booth -- BEFORE YOU UNLOAD AND SELL ANYTHING (I do this as I'm loading the Cookies into my car). -- Fill out Booth Worksheet - Double Check for Accuracy.
Step 3: Set up Booth (This is how Christine does it. Everyone can find their preference)
Prefer using a Grocery Cart. Most places allow us using a cart.
When not allowed, use a Small Table.
I keep 1 of each Variety in Rainbow Order in the seat of the cart.
Cases of Slow Moving Cookies go in the Cart Basket.
Cases of Fast Moving Cookies go in the undercarriage or stacked behind the Cart.
Find a spot for the Donations in the Seat of the Cart. Put cash into the container to encourage people to put more in!
Keep the Menu or 2 in the cart for people to look at if they can't see the display on Seat of the Cart.
